Terms & Conditions - the basics
FoxTrotRox Travels (“Agency,” “we,” “our,” “us”) acts as an independent travel advisor facilitating travel arrangements on behalf of clients (“Client,” “you,” “traveler”) through third-party suppliers including but not limited to airlines, hotels, cruise lines, tour operators, car rental companies, and destination service providers.
By submitting payment, signing a proposal, or requesting booking services, you agree to the following terms:
Agency Role
FoxTrotRox Travels is a travel advisor and does not own or operate airlines, resorts, cruise lines, tour companies, transportation providers, or travel insurance companies.
All reservations are subject to the terms, conditions, and policies of the individual travel supplier.
We are not responsible for:
• Supplier bankruptcy
• Schedule changes
• Weather events
• Natural disasters
• Political unrest
• Mechanical failures
• Lost baggage
• Personal injury
• Government travel restrictions
Planning & Research Fees
A non-refundable planning and research fee may be required before custom quotes, proposals, or itinerary design begins.
Planning fees:
• Are separate from supplier deposits
• Are very affordable
• Compensate for time, research, and expertise
• Are non-refundable under any circumstance
Group travel planning may require a separate group coordination fee.
Deposits & Payments
• Deposits are non-refundable unless explicitly stated by the supplier
• Payment plans are subject to supplier terms
• Final payment dates are strictly enforced
• Failure to pay by the final due date may result in automatic cancellation
FoxTrotRox Travels is not responsible for penalties resulting from late payment.
All pricing is subject to change until deposit is received.
Cancellations & Refunds
Cancellation policies vary by supplier. Refund eligibility is determined solely by the supplier.
FoxTrotRox Travels:
• Does not control supplier refund timelines
• Does not guarantee refunds
• Is not responsible for supplier cancellation penalties
If a client cancels after services have begun, planning fees remain non-refundable.
Travel Insurance (Strongly Recommended)
Travel insurance is strongly recommended for all bookings.
Clients who decline travel insurance assume full financial risk for:
• Medical emergencies
• Trip interruptions
• Weather disruptions
• Illness
• Family emergencies
• Supplier insolvency
If insurance is declined, client must sign an insurance waiver.
Documentation & Entry Requirements
Clients are responsible for:
• Valid passports (minimum 6 months validity recommended)
• Required visas
• Vaccinations
• Government entry requirements
FoxTrotRox Travels is not liable for denied boarding due to improper documentation.
Airline Policies
Airlines may change:
• Flight times
• Equipment
• Routes
• Seating assignments
Airfare is typically non-refundable and subject to airline rules.
We recommend booking flights promptly once quoted, as airfare changes rapidly.
Group Travel Terms
Airlines may change:
• Flight times
• Equipment
• Routes

Client Conduct
Clients agree to conduct themselves respectfully while traveling.
FoxTrotRox Travels reserves the right to decline service to any individual engaging in:
• Harassment
• Fraudulent payment activity
• Abusive behavior toward staff or suppliers
Chargebacks & Payment Disputes
Initiating a chargeback after travel services have been rendered or after supplier deposits have been applied constitutes breach of contract.
FoxTrotRox Travels reserves the right to pursue collection and legal remedies for fraudulent disputes.
Limitation of Liability
FoxTrotRox Travels’ liability is limited to the amount of planning fees paid directly to the agency.
We are not liable for indirect damages, incidental losses, or consequential financial harm resulting from travel disruptions.
Booking Policy Summary
By booking with FoxTrotRox Travels, you acknowledge:
• You understand supplier policies
• You accept cancellation terms
• You understand deposits are often non-refundable
• You were offered travel insurance
• You authorize FoxTrotRox Travels to process payments on your behalf
Agreement:
By submitting payment, signing a proposal, or confirming booking in writing, you agree to these Terms & Conditions in full.
